What is lease tracking software and who needs it?

Lease tracking software is a system of record for leases. At minimum it holds the lease document, the key terms (parties, premises, commencement and expiration, rent and escalations, options, notice periods) and a set of dated events, and it alerts someone before each event. Bigger platforms add document storage, reporting, workflows and lease accounting for ASC 842.

The buyers are easy to recognize. A controller at a company with 30 office and warehouse leases who found out about an auto renewal three weeks after the notice date. A landlord with two retail centers and 60 tenants who needs to know which leases roll in the next 18 months before the lender asks. A franchise group or restaurant operator with a lease per location and a different notice clause in every one. A property manager who inherited a portfolio with a spreadsheet nobody trusts. In every case the cost of a missed date is real money: an option that lapses, a below market renewal that was never exercised, a holdover rate that applies automatically, or a rent increase billed late and never recovered.

Why lease tracking fails at the data entry step

Almost every lease tracking tool on the market assumes the data is already in it. Someone has to read each lease, find the renewal option on page 47 and the notice period in a 2019 amendment, and type it into a form. For a commercial lease with two or three amendments that reading takes 4 to 8 analyst hours if it is done carefully. Multiply that by a portfolio and the tracking project stalls before it starts, or it starts with dates copied from an old summary that was already wrong.

That is why so many teams still track leases in Excel. The spreadsheet is not the problem. The problem is that nobody had time to build it correctly, so it holds expiration dates and base rent and very little else. Notice windows, the exact number of days, whether notice must be in writing to a specific address, the escalation basis and the effect of each amendment are the facts that cause losses, and they are the ones most often missing.

Our approach is to remove the typing. You upload the leases and their amendments, scanned or native PDF. What lease tracking software should track

If you are comparing tools, use this list as the floor. A tracker that only stores expiration dates and base rent will not prevent the expensive mistakes.

  • Term dates. Execution, commencement, rent commencement and expiration, plus any date that floats with delivery of the premises.
  • Options and their notice deadlines. Renewal, extension, termination, expansion, contraction, right of first offer and right of first refusal. The deadline to exercise is the date that matters, not the option itself.
  • Rent schedule. Base rent by period, every escalation and its basis (fixed step, percentage, CPI), free rent and abatement periods, and percentage rent with its breakpoint for retail.
  • Expense terms. Gross, modified gross or NNN structure, CAM and operating expense definitions, base year or expense stop, caps and audit windows.
  • Security and credit. Security deposit, letter of credit expiry and reduction dates, guaranty and guarantor.
  • Obligations that recur. Insurance certificate renewals, estoppel response periods, reporting duties and holdover terms.

How our lease tracking workflow works

There are four steps, and only one of them needs a person.

1. Upload the lease set. Drop in the base lease with its amendments, commencement letter and extensions. On the Plus plan you can upload up to 50 files at once, which is how most teams load a whole portfolio in an afternoon. The bulk lease upload page explains batch handling in detail.

2. Get one row per lease. The batch view consolidates the documents for each tenant into a single tenancy row. The base lease supplies the values, and a later amendment that changes rent or term overrides them, with the file name and page carried on each value. That consolidated dataset downloads as Excel or CSV, so it becomes your lease tracker on day one.

3. Download the critical dates calendar. From the same batch, the Calendar export produces an .ics file with every unambiguous date in the abstracts: commencement and expiration, events from the critical dates table with their notice period, and option notice deadlines. Import it into Outlook or Google Calendar, share it with the people who own each lease, and set the reminder lead time you want. We only put a date in the calendar when it can be read with its year; we never guess or compute one from a vague clause.

4. Check the flags, then move on. A person opens the fields marked no value found or no source page, plus anything that moves money, and confirms them on the cited page. That verification pass takes minutes per lease instead of hours.

Commercial lease tracking software for landlords

Landlords track leases from the other side of the table, and the dates they care about are different. A tenant renewal option is a revenue risk, not an opportunity. A co tenancy clause can cut rent at a whole center when an anchor goes dark. Percentage rent reporting dates, CAM reconciliation deadlines and audit windows decide whether recoveries are collected or written off. Estoppel requests from lenders and buyers have short response periods.

For a landlord the practical problem is usually a rent roll that does not match the leases. Lease tracking software for tenants and occupiers

Companies that lease their offices, stores, warehouses and equipment track leases for two reasons: to avoid missing options and to keep the lease accounting right. Under ASC 842 every lease change is a potential remeasurement, so the accounting team needs the same terms the real estate team tracks. Lease tracking software vs a spreadsheet

A spreadsheet is a perfectly good lease tracker for a small portfolio if three conditions hold: the data in it was taken from the leases and amendments rather than from memory, every date that matters is in it (not just expiration), and someone actually gets reminded. Most spreadsheets fail the first two. A dedicated platform helps with the third, adds an audit trail and permissions, and becomes worth its annual fee once there are more people and more leases than one person can keep in their head.

The useful split is this. If you have fewer than about 20 leases and one owner for them, an accurate abstract in Excel plus a shared calendar is usually enough, and that is exactly what our export produces. What to check before you buy lease tracking software

  1. Ask how your existing leases get in. If the answer is a template and a team of data entry staff, price that work in hours before you sign.
  2. Test it on an amended lease. The base lease is easy. The extension letter that changed the renewal notice from 180 to 270 days is the test.
  3. Look for page citations. Every tracked date should trace back to the lease language, or the first audit will mean rereading the documents.
  4. Check where the alerts go. Reminders that live only inside a tool nobody logs into are not reminders. Calendar feeds and email to named owners work better.
  5. Read the data terms. Our position is short: 256-bit encryption in transit and at rest; no SOC 2 attestation held today, and your documents are not used to train our own models.
