Workday Financial Management already does basic ASC 842 and IFRS 16 lessee accounting through lease-type supplier contracts, so the first question is not which subledger to buy but whether you need one. Workday posts the ROU asset and lease liability and straight-lines the expense once someone enters the lease terms on the contract. Teams with a few dozen simple leases can often stop there. Teams with hundreds of leases, frequent amendments or GASB 87 obligations usually add Visual Lease, Nakisa or FinQuery on top. Every vendor fact below comes from the vendor site or Workday documentation, checked on 25 September 2026, not from a software directory.

Does Workday have a lease accounting module?

Yes, though it is not sold or labelled as a standalone lease product. The Workday course manual for financial accounting administrators has a full Lease Accounting chapter. You switch it on in the Procurement Options section of the Edit Tenant Setup, Financials task, then set up supplier contract types for leases. Some software directories state that Workday does not ship a dedicated lease accounting module. That is true only in the narrow sense that the capability lives inside Supplier Contracts rather than in its own app.

What Workday does, in its own words: on the supplier contract "you must enter several additional pieces of information", namely the lease payment amount, payment dates, initial direct costs, lessor incentives, the right-of-use asset, the lease liability and prepaid lease payments. When the contract business process completes, Workday creates a journal that debits the ROU asset and credits the lease liability. It then generates a supplier invoice schedule and installments, and an expense recognition schedule that straight-lines the lease expense over the term.

The three accounting methods Workday offers

The Workday admin guide lists three methods for operating lease-type supplier contracts:

  • ROU Asset Depreciation Expense: records interest expense accruals and depreciates the ROU asset in Business Asset Accounting.
  • ROU Asset Operating Expense: records lease expense accruals and interest accretion, the familiar single straight-line cost under ASC 842.
  • Straight Line Expense: records expense only, with no ROU asset or lease liability at the start date.

For the first two, Workday calculates the ROU asset and liability from the initial direct costs, interest rate, payment amounts, lessor incentives, payment frequency and prepaid payments. It does the math. It does not read the lease.

When is native Workday lease accounting enough?

It is usually enough when your leases are few, rent is fixed or steps on a known schedule, and amendments are rare. Workday is a lessee tool; its manual says the focus of lease accounting is on the lessee. If you sublease space out, carry equipment leases with residual value guarantees, run a GASB 87 or GASB 96 reporting entity, or need lease administration features such as critical date alerts, CAM tracking and landlord correspondence, you will want a dedicated platform next to Workday. The same goes for portfolios where a real estate team, not accounts payable, owns the lease record.

Is Workday good for lease accounting?

For a lessee with a modest, stable portfolio, yes: it keeps leases, invoices and journals in one system and avoids a second subscription. Its limits are scope, not math. It covers lessee accounting on supplier contracts, so lease administration, lessor accounting and GASB reporting sit outside it, and every term still has to be read out of the lease and typed in. A subledger earns its fee when amendments, remeasurements and disclosure tables start eating the close.

How much does lease accounting software for Workday cost?

None of the Workday-connected platforms above publishes a dollar amount, so plan for a quote. The ones that do publish prices (Cradle, iLeasePro and NetLease) sell mostly to QuickBooks lease accounting buyers and NetSuite shops rather than Workday customers. For a Workday customer the budget question is really three lines: the subledger subscription, the integration (included, a paid connector, or custom work per interface), and the one-off cost of getting every existing lease into the new system. The third line is the one buyers underestimate. Careful manual abstraction of a commercial lease with amendments takes four to eight analyst hours. A 300 lease portfolio is 1,200 to 2,400 hours before the first journal posts, whichever system you choose.

How do you get lease data into Workday?

Whether you use native supplier contracts or a subledger, the inputs are the same: commencement and end dates, payment amounts and dates, escalations, renewal and purchase options, initial direct costs, lessor incentives and prepaid rent. Workday pulls none of that from a PDF. Its supplier invoice installments then flow into accounts payable, so a wrong payment date becomes a wrong supplier invoice too; teams that already run accounts payable automation on their vendor invoices tend to notice that mismatch fast.

  • Under about 50 lessee leases, mostly fixed rent: start with native Workday supplier contracts. Get the lease terms abstracted and reviewed first, because the calculation is only as good as what you key in.
  • Real estate heavy portfolio, GASB reporting or subleases: shortlist Visual Lease and Nakisa and make each demo its Workday integration against your own entity and worktag structure.
  • Mid-market finance team that wants accounting only: FinQuery, and ask whether the Workday connection is included or a paid add-on.
