Every documented way to get lease data into Archibus

Archibus documents several entry routes for the Leases module. All of them assume somebody has already read the lease. This table shows what each route costs in effort and where an abstraction step saves the most time.

Route into Archibus Leases What it requires Effort per lease Where it falls short
Portfolio Edit Wizard A lease administrator and the lease PDF 4 to 8 hours for a complex lease Guided, but every term is still read and typed by hand
Lease Portfolio Console forms Background data already defined Faster for a basic subset of fields Quick for the core record, slow once clauses, options and costs are added
Lease templates Templates set up in background data Saves repeated values only Fills what is common across leases, not what is unique to each one
Data Transfer import A CSV or Excel file in the right columns Minutes once the file exists Dates must be yyyy-mm-dd, and someone still has to build the file from the leases
Partner data migration An Eptura partner statement of work Billed as services time The same manual reading, done by consultants on the clock
LeaseAbstractors, then Data Transfer This tool Lease PDFs and a browser Minutes plus review You review the fields before loading, and the import still runs through Data Transfer rather than a certified connector

Entry routes from the Archibus help for the Leases SaaS module and Data Transfer, checked October 2026. Archibus is sold through Eptura partners, so services pricing varies by partner. Effort figures are typical analyst time for a commercial lease with amendments.

The solution

What an Archibus ready lease abstract contains

The Lease Portfolio Console organizes a lease into basic information, contacts, recurring costs, clauses, options, amendments, suites and documents. These are the fields the extraction pulls to fill those tabs.

Lease basics and premises

Landlord and tenant entities, building and suite, rentable and usable area, and the lease type, so the record links to the right property and suite inventory in Archibus.

Recurring costs and rent steps

Base rent by period, escalations, free rent and payment frequency, laid out as dated rows that map onto recurring cost records with ISO start and end dates.

CAM and expense terms

Pro rata share, base year or expense stop, caps and exclusions, ready for the CAM profile and cost categories you defined in background data.

Options and critical dates

Renewal, termination, expansion and purchase options with their notice windows, so the Archibus alerts for option and lease due dates fire on the right day.

Clauses by responsibility

Maintenance, insurance, assignment and subletting, restoration and other clauses, grouped so they map onto your Archibus responsibility categories.

A citation on every field

Each value links to the page and clause it came from, so the person approving the Data Transfer comparison report can check a term in seconds.

How it works

How to load leases into Archibus without keying them

From a folder of lease PDFs to a reviewed Data Transfer file, in four steps.

01

Export a sample from Archibus

Use Data Transfer to export one existing lease and its recurring costs. That file is your exact column template.

02

Upload the leases and amendments

Add each lease with its amendments, side letters and exhibits. Scans and image PDFs are read by OCR first.

03

Review the cited fields

Check rent steps, options and notice dates against the linked source pages and correct anything before it reaches Archibus.

04

Export and Transfer In

Download Excel or CSV in your template order with yyyy-mm-dd dates, run the comparison report, then commit the import.

Short answer: Archibus lease management stores and tracks lease data well, but it does not read your lease PDFs. Every lease reaches the Archibus Leases module through the Portfolio Edit Wizard, the Lease Portfolio Console forms, or a Data Transfer import of a CSV or Excel file. The slow part is the reading, so abstract the leases first and load a reviewed file.

Does Archibus do lease abstraction?

Not in the sense of reading a document. Eptura says on its Archibus lease management page that lease abstracts and detailed clauses are immediately accessible once they are in the system, which describes storage and retrieval. When we checked that page in October 2026 it did not mention extraction, OCR or AI reading of lease documents. The Archibus help for the Leases SaaS module describes tasks that facilitate lease data entry, a wizard, and forms. Somebody still reads each lease and types the terms in, or prepares a spreadsheet for import.

How do you import leases into Archibus?

Through Data Transfer. Archibus documents a Transfer In action that imports a comma separated values file or an Excel file from the client computer or a server, can generate comparison reports of inserted and updated records before you commit, and writes an error log when rows fail. The fastest reliable route is to export an existing lease with Data Transfer, use that file as your column template, and fill it from abstracted data. Our lease PDF to Excel converter produces exactly that kind of spreadsheet.

The date format that breaks Archibus lease imports

Archibus Data Transfer requires every date field in an import file to be in yyyy-mm-dd format. Its own help warns that if you edit or type dates in Excel, they are saved using your Windows regional date setting, which can cause problems with recurring cost start and end dates. A lease portfolio is mostly dates: commencement, expiration, rent steps, option windows. We export every date in ISO yyyy-mm-dd form, so the file loads without someone retyping a column of commencement dates.

What Archibus needs before the first lease goes in

Archibus asks you to set up background data first: alert rules for option and lease due dates, lease templates, contacts, responsibility categories for clauses, cost categories and, if you use them, indexes for escalations. Its help suggests an incremental approach, starting with buildings, leases and base rents and adding scheduled costs, CAM and index based escalations later. That is sensible advice, and it is also why so many Archibus portfolios stall half loaded. Abstracting every lease up front gives you the full clause, option and cost picture on day one, so you can decide which layers to load rather than discovering them later.

Archibus implementations and data migration cost

Eptura sells Archibus exclusively through partners, and data migration is usually a line item in the partner statement of work. Keying leases by hand runs roughly 4 to 8 analyst hours for a complex commercial lease with amendments. On a 200 lease portfolio that is 800 to 1,600 hours before the system is useful. Our Archibus pricing breakdown covers how partners quote, and the bulk lease upload runs a whole folder of leases in one pass so the migration line shrinks to review time.

Moving from TRIRIGA to Archibus

IBM ends support for every TRIRIGA version on September 30, 2027, and Archibus is one of the IWMS suites TRIRIGA teams shortlist. A TRIRIGA lease export rarely maps cleanly onto Archibus tables, and the old abstracts are often out of date against the latest amendment. Re-abstracting from the signed documents gives you a clean, source cited load file. See our TRIRIGA alternatives comparison if the platform choice is still open.

Where LeaseAbstractors fits

We read the lease, Archibus runs the portfolio. Upload the lease and its amendments and you get parties, premises and area, base rent and escalations, recurring costs, CAM terms, options, clauses and critical dates as fields, each linked to the page it came from. Export to Excel or CSV in your Data Transfer column order and load it. Plans start at $49 a month, or $24 a month billed yearly, and you can run one lease before you sign up.

Talk to our team

Archibus stores lease abstracts and clauses once they are entered, but its lease management pages do not describe reading lease PDFs. Lease data goes in through the Portfolio Edit Wizard, console forms or a Data Transfer import, so the reading is done by a person or by an abstraction tool first.

Use Data Transfer. Its Transfer In action imports a CSV or Excel file, can produce comparison reports of inserted and updated records before you commit, and logs any errors. Export one existing lease first and use that file as the column template for the rest.

Every date field must be yyyy-mm-dd. Archibus warns that dates edited in Excel are saved in your Windows regional format, which can break recurring cost start and end dates. Our exports write every date in ISO format.

By hand, a complex commercial lease with amendments takes roughly 4 to 8 analyst hours to read and key. With AI abstraction the reading takes minutes and the remaining time is review of cited fields, which is usually a small fraction of the manual effort.

Yes. Re-abstracting from the signed leases and amendments gives a clean load file instead of carrying over stale TRIRIGA abstracts. IBM ends TRIRIGA support on September 30, 2027, so many teams are doing exactly this now.

Plans start at $49 a month, or $24 a month billed yearly, and you can run a single lease before creating an account. For a migration backlog, bulk upload processes a whole folder in one pass.
