Each route below ends with lease data in Planon. They differ in who reads the lease and who pays for that time.
| Route into Planon | What it requires | Effort or cost | Where it falls short |
|---|---|---|---|
| Your team keys each lease into Planon | A lease administrator, the PDF and Planon access | 4 to 8 hours for a complex lease | Every term is read and typed by hand, and errors surface at the first ASC 842 close |
| Planon or partner consultants migrate the data | A statement of work for data migration | 1,240 GBP per consultant day on G-Cloud 15 | Migration is excluded from the software price, so reading leases is billed by the day |
| Import from your old contract administration | An export from TRIRIGA, spreadsheets or another system | Fast once mapped | Carries over stale abstracts that no longer match the latest amendment |
| Specialized lease abstraction software, then import | Lease PDFs and an import template | Minutes plus review | This is the route Planon itself describes for scanned and non-digital leases |
| LeaseAbstractors, then the Planon load This tool | Lease PDFs and a browser | Minutes plus review | You still review fields before loading, and the load runs through your implementation template rather than a certified connector |
Routes and quotes from the Planon US Lease Accounting Solution page and the Planon G-Cloud 15 pricing document (GBP, excluding VAT), checked October 2026. Effort figures are typical analyst time for a commercial lease with amendments.
These are the fields the extraction pulls so a Planon lease record and its accounting schedule can be built without rereading the document.
Landlord and tenant entities, property, floor and unit, rentable and usable area, and lease type, so each lease links to the right property records in Planon.
Base rent by period, fixed and index based escalations, free rent and payment frequency, laid out as dated rows for the Planon lease accounting calculations.
Pro rata share, base year or expense stop, caps and exclusions, ready for service charge and cost allocation in Planon.
Renewal, termination, expansion and purchase options with notice windows, so Planon reminders fire on the right day.
Commencement, term, payments, incentives and reasonably certain options gathered in one place for the accounting team.
Each value links to the page and clause it came from, so the person approving the migration can check a term in seconds.
From a folder of lease PDFs to a reviewed Planon load file, in four steps.
Ask your Planon implementation lead for the lease load file the project uses, or export one lease as a sample.
Add each lease with its amendments, side letters and exhibits. Scans and image PDFs are read by OCR first.
Check rent steps, options and notice dates against the linked source pages before anything reaches Planon.
Download Excel, CSV or JSON in the template order and hand it to the migration, which becomes a mapping job instead of a reading job.
How leases get into Planon, what migration costs, and where abstraction removes the hand keying.
Short answer: Planon manages leases once the data is in it, but it does not read lease PDFs itself. The Planon Lease Accounting page says lease data is imported from your existing contract administration or through integration with specialized lease abstraction software, and that scanned lease documents can be analyzed by that software for a fast onboarding. Abstract the leases first, then load a reviewed file.

Not on its own, by its own description. When we read the Planon US Lease Accounting Solution page in October 2026, the onboarding section said you can easily import lease data from your existing contract administrations or by the integration with specialized lease abstraction software. A second line says lease documents can be scanned and analyzed by specialized lease abstraction software that can be integrated with this solution, to support a fast onboarding of non-digital data. In other words, Planon expects the reading to happen before the data reaches Planon. The Planon Lease Management page we checked the same day did not mention extraction, OCR or AI reading at all.
There are three practical routes. Your own team keys each lease into the Planon real estate screens. Your implementation partner or Planon consultants run a data migration from spreadsheets or the system you are leaving. Or an abstraction step turns the signed leases into structured rows that the migration loads. The third route is the one Planon itself points to. Ask your implementation lead for the load template the project uses, then fill it from abstracted data. Our lease PDF to Excel converter produces that kind of spreadsheet, with every date in one consistent ISO format.
Planon prints its rates in its UK G-Cloud 15 pricing document, filed in January 2026 and priced in pounds sterling excluding VAT. Implementation, including project management, configuration, data migration and training, is excluded from the software price. Consultant days are listed at 1,240 GBP for an implementation consultant, application manager or trainer, and 1,295 GBP for a project manager, senior consultant or architect, with travel extra. If keying a complex commercial lease takes 4 to 8 hours, a 200 lease portfolio is 800 to 1,600 hours, which is 100 to 200 consultant days before anyone checks the result. Our Planon pricing breakdown walks through the per user rates and discount bands in the same filing.
Planon markets its Lease Accounting Solution for ASC 842 and IFRS 16, for both lessors and lessees, and says it can run on premise or in the cloud and connect to any ERP. The accounting engine needs clean inputs: commencement date, term, payment schedule, escalations, renewal and termination options and incentives. Those inputs live in the lease, the amendments and the side letters. We extract them with a citation to the page and clause, so the controller who signs off the ASC 842 schedules can trace every number back to the document. GASB 87 was not named on the Planon page we read, so public sector buyers should ask about it directly.
IBM ends support for every TRIRIGA version on September 30, 2027, and Planon is one of the IWMS suites on most TRIRIGA replacement shortlists. A TRIRIGA lease export carries years of manual entry and rarely matches the latest amendment. Re-abstracting from the signed documents gives Planon a clean, source cited starting point instead of a copy of old errors. Our TRIRIGA alternatives comparison covers Planon, Archibus and Maximo side by side, and the Archibus lease data entry guide covers the same job if Archibus wins the shortlist.
We read the lease, Planon runs the portfolio and the accounting. Upload a lease with its amendments and you get parties, premises and area, base rent and escalations, CAM and operating cost terms, options, critical dates and key clauses as fields, each linked to the page it came from. Export to Excel, CSV or JSON in the column order your Planon load template uses. For a migration backlog, the bulk lease upload runs a whole folder in one pass. Plans start at $49 a month, or $24 a month billed yearly, and you can run one lease before you sign up.

Talk to our teamPlanon manages lease data but, by its own description, relies on importing data from your existing contract administration or on integration with specialized lease abstraction software. Its Lease Accounting page says scanned lease documents can be analyzed by that software for a fast onboarding.
Leases are loaded during implementation, usually from a spreadsheet template the project defines, or keyed into the real estate screens. Abstract the signed leases into that template first, review the cited fields, then load the file.
Planon lists implementation, including data migration, outside the software price. Its UK G-Cloud 15 filing prices an implementation consultant at 1,240 GBP a day. Supplying clean, abstracted lease data reduces the days spent reading leases.
Yes. Planon markets its Lease Accounting Solution for ASC 842 and IFRS 16 for lessors and lessees. GASB 87 was not named on the page we read in October 2026, so public sector buyers should confirm it with Planon.
Yes. Re-abstracting from the signed leases and amendments gives a clean load file instead of carrying stale TRIRIGA records forward. IBM ends TRIRIGA support on September 30, 2027.

Ask a questionEach plan includes a monthly allowance of pages, and the number you get depends on which AI model you choose at extraction time. Base AI processes pages faster; Pro AI delivers the highest field-level accuracy. Your allowance resets on your billing anniversary each month, unused pages do not roll over. A typical commercial lease runs 20 to 60 pages including amendments, so the Starter plan's 2,500 Base AI pages cover roughly 40 to 120 leases a month.
Once your included pages are used up, extraction pauses until the next billing cycle. You can upgrade your plan at any time mid-month, the higher allowance kicks in immediately and you are only charged the prorated difference for the remainder of the period.
Yes. You can switch from monthly to yearly billing at any time on the Billing page. The yearly price is charged the same day, minus the unused part of your current month, and the 50% yearly rate applies right away. All payments are final: cancelling stops the next renewal, and access continues until the end of the period already paid.
All plans export to Excel XLSX and CSV. Plus adds QuickBooks (QBO) export and financial reports. Pro unlocks JSON output via REST API so you can push structured data directly into any ERP, RPA platform or internal system.
We do not use your documents to train or improve our own models, and files are encrypted in transit (TLS 1.2+) and at rest (AES-256). Extraction runs through a third-party model provider, so review their terms if your policy requires a contractual no-training commitment. You control retention: documents can be deleted from the workspace at any time, and we will remove everything on request.
