Archibus and Planon are priced on different meters. Archibus SaaS, as resold by JLL, is an annual subscription based on the square footage and number of leases you manage, with no charge per extra user. Planon charges per named back office user per month. Neither vendor prints a US list price, but both have filed real numbers in the UK government G-Cloud 15 catalogue, and those filings are the most reliable public benchmark there is.

Whichever one you pick, the services line for loading your leases is quoted separately by both. If you already have the signed leases, abstracting them into structured fields first lets both bidders quote the data load against the same file.

Is Archibus more expensive than Planon?

It depends on how many people log in versus how much space and how many leases you manage. Archibus SaaS does not charge per user, so a large team with a small portfolio pays the same as a small team. Planon charges per named user, so a lean lease team with a big portfolio pays less. On the filed numbers, a 10 user Planon real estate setup costs a fraction of the mandatory Archibus Foundations fee alone.

The directory sites that rank for this question quote monthly ranges for 10 users that disagree with each other and cite no source. The figures below come from the vendors and their reseller, filed in January 2026, in pounds sterling excluding VAT.

How Archibus is priced

Eptura, which owns Archibus, sells it only through partners and prints no figure on its own site. Our Archibus pricing breakdown covers how that partner channel works. JLL is one of those partners, and its G-Cloud 15 filings describe two models.

Archibus SaaS is an annual subscription, paid in advance, based on the square footage you need to manage and the applications you license. The fee includes the license, maintenance, support and two hosted environments. JLL states that SaaS licensing has no unit cost for additional users. Foundations is mandatory: 37,826 GBP a year at 750,000 sq ft, 53,870 GBP at 1.5 million and 72,561 GBP at 2.5 million, based on a three year contract. Real Property is 26,655, 38,322 or 48,665 GBP at the same sizes. The Leases module is banded at 25, 50 and 100, priced at 17,006, 22,113 and 30,143 GBP a year.

Archibus Enterprise is the older term license model, hosted as a platform service or installed on premise. It has a three year minimum, software from 57,000 to 500,000 GBP a year depending on modules, plus concurrent user licenses: power users in bundles of 10 to 250 at 3,000 to 70,000 GBP a bundle a year, which JLL puts at roughly 200 to 300 GBP per user, and request users at roughly 20 to 30 GBP per user a year. Extra environments run 650 GBP a month plus 12.5 percent of the license value each.

How Planon is priced

Planon also prints no price on planonsoftware.com, and its US pricing URL returns a 404. Its G-Cloud 15 document does the work. Back office users of Real Estate Management cost 123 GBP a month at Core, 147 at Advanced and 173 at Enterprise. Discounts step up with user count: none for the first 10, 15 percent at 11 to 25, 30 percent at 26 to 50 and 45 percent beyond. Self service users are sold in large blocks, the production cloud environment is included, and each extra environment is 228 GBP a month. The subscription is billed annually in advance for named users, with an initial term of up to 36 months. Our Planon pricing breakdown has the full table, including the asset, workplace and mobile modules.

A worked example on the filed numbers

Take a corporate real estate team with 10 people in the system, 50 leases and 750,000 sq ft of space.

  • Archibus SaaS: Foundations at 37,826 GBP plus Leases at the 50 band, 22,113 GBP, comes to 59,939 GBP a year before implementation, if those two modules cover your scope. Adding users costs nothing.
  • Planon: 10 Core back office users at 123 GBP a month comes to 14,760 GBP a year for the real estate module before implementation. Each additional user adds to that, minus the volume discount.

So the small team wins on Planon. Flip the scenario to 150 people who need to log in to approve, report or request, and the Archibus model, which does not count users, starts to look cheaper. Neither example includes the line that often decides the total, which is getting your leases into the system.

If you want to run your own scenarios, put both filings side by side in one workbook. A PDF to Excel converter pulls the pricing tables out of the two PDFs so you can model user counts and portfolio size without retyping a rate card.

What implementation and lease data migration cost

Both vendors keep implementation out of the subscription. Planon says outright that project management, configuration, data migration and training are excluded from the software price, and bills consultants at 1,240 GBP a day for an implementation consultant, application manager or trainer, and 1,295 GBP for a project manager, senior consultant or architect. JLL quotes Archibus implementation per client from a rate card where a business analyst is 1,350 GBP a day, a data analyst 1,500 GBP and a solution architect 1,425 GBP.

Lease data is where that day rate compounds. Reading and keying a complex commercial lease with amendments takes roughly 4 to 8 analyst hours. On a 200 lease portfolio that is 800 to 1,600 hours, or 100 to 200 consultant days, for work that is mostly reading. Planon itself says lease data can come from integration with specialized lease abstraction software, and Archibus loads leases through a CSV or Excel Data Transfer import. Either way, the cheaper path is to hand the partner an abstracted file. Our guides to Planon lease data migration and Archibus lease data entry show what each load needs.

Which one should you shortlist?

  • Many users, moderate portfolio: Archibus SaaS, because users are not counted.
  • Small lease team, large portfolio: Planon, because you pay per back office user, not per lease or square foot.
  • Federal or high security hosting: Archibus has a FedRAMP Authorized edition and an on premise option.
  • Lease accounting in the same suite: Planon markets a Lease Accounting Solution for ASC 842 and IFRS 16 for lessors and lessees. Confirm GASB 87 directly if you are a public entity, because the page we read did not name it.

Many of these evaluations in 2026 are TRIRIGA replacements, since IBM ends TRIRIGA support on September 30, 2027. Our TRIRIGA alternatives comparison puts Archibus, Planon and Maximo next to each other.

Questions to ask both bidders

  • Is this priced on area, leases or named users, and what happens to the price if each grows 20 percent?
  • Which modules are mandatory, and is the lease module enough without Real Property or space management?
  • How many services days are for lease data migration, and how many disappear if we supply abstracted lease data?
  • What is the renewal increase after the initial term, and is it capped?
  • How many environments are included, and what does a training or test environment cost?

The short version

Archibus SaaS charges by area and lease count with unlimited users and a mandatory Foundations fee. Planon charges per named user with volume discounts. On the filed UK numbers, small teams pay less with Planon and large user bases can pay less with Archibus. Both price the lease data load separately, at 1,240 to 1,500 GBP a consultant day, so the biggest saving you control is arriving with your leases already abstracted. Upload the whole lease folder, review the cited fields, and give both partners the same file. Plans start at $49 a month, or $24 a month billed yearly.
