Why a Black Owl Systems shortlist is unusually hard to compare

Most software categories let you line up prices and features in an afternoon. This one does not, and the reasons are structural rather than accidental.

Nobody publishes a price

We opened all eleven pricing pages on August 23, 2026. Zero dollar figures. Black Owl labels five tiers and puts Contact Sales under every one of them. Trullion has removed its pricing page entirely. That means every comparison starts with a sales call, and quotes arrive weeks apart.

Two different products share one search result

Half this list is lease accounting software that expects you to type in lease terms. The other half is lease administration software that also does accounting. They answer different questions, and the demo will not make that obvious because both use the word lease on every slide.

Abstraction is quietly assumed

Every platform here needs your lease terms before it does anything. Several never say who is supposed to produce them. Black Owl does not mention abstraction, extraction or OCR anywhere on its home, pricing or features pages, so that work stays with your team or becomes a separate purchase.

Standard coverage is not uniform

ASC 842 is table stakes. GASB 87 is not. Black Owl lists ASC 842, IFRS 16 and ASPE 3065 on its plans and names GASB on none of them, which rules it out for US public sector reporters before feature depth even matters.

Nobody lets you test on your own leases

None of the eleven offers a real self-serve trial you can run on a messy lease with three amendments and a CAM cap buried in an exhibit. You find out how the platform handles your portfolio after procurement, not before.

Review depth is wildly uneven

Occupier has a few hundred independent reviews. Black Owl has a handful. That is not a quality signal either way, but it does mean you are buying one of them largely on the strength of a scripted demo.

Do you report under GASB 87?

Who is going to read the leases?

This is the cost nobody quotes. Black Owl and LeaseAccelerator do not market document extraction at all. Crunchafi extracts a narrow field set. Occupier, Lucernex, MRI, Visual Lease and CoStar market fuller abstraction, usually priced per lease on top of the license.

Are you a CPA firm or the client?

Black Owl and Crunchafi both sell multi-client tiers built for firms managing many client portfolios under one login. Black Owl publishes CPA Essentials and CPA Advanced plans with unlimited clients and users. Most of the rest are sold to the end company, one entity set at a time.

What has to talk to your ERP?

Black Owl puts standard ERP integration on its Large Companies tier and advanced ERP integrations on Enterprise, without naming connectors publicly. Ask for the named list and the direction of the feed. Journal entry export to a CSV is not the same thing as a bidirectional connector.

How many leases do you actually have?

Under about fifteen leases, most of these platforms cost more than the problem. Above a few hundred, multi-entity and multi-currency handling and the reassessment engine matter far more than the interface. Count the portfolio before you sit through a demo.

This group is what you want if a real estate or operations team, not just accounting, lives in the software every day. Occupier is built for multi-location tenants in retail, restaurant, healthcare and franchise, and combines lease administration, a deal pipeline from letter of intent to executed lease, and an ASC 842 module. CoStar Group bought Visual Lease for $272.5 million in cash, announced October 22, 2024 and closed November 1, 2024, and still sells both products separately. CoStar Real Estate Manager is the enterprise platform; Visual Lease is the mid-market one, with GASB 87 and GASB 96 coverage and an AI lease abstraction module marketed as complete AI lease scanning. Neither publishes a price. Visual Lease's pricing page carries a Request Pricing link and nothing else, verified again in August 2026. Where this family beats Black Owl is breadth: sustainability and ESG reporting, government-standard coverage, and a named integration list. FinQuery is the largest name most Black Owl shortlists eventually run into. It rebranded from LeaseQuery and expanded past leases into contract and spend compliance, covering ASC 842, IFRS 16, GASB 87 and GASB 96.
